// Fuel Module
Record every fill-up, detect deviations, and know the cost per kilometer of each unit. Integrate your fuel cards and centralize everything in one place.
// Features
From recording every fill-up to detecting deviations — digitized, integrated, and with real-time alerts.
Record every fill-up with date, time, liters, fuel type, amount, odometer, and fill-up location. The system automatically compares against the km delta between fill-ups and the model's tank capacity.
Connect VEC Fleet to your provider via API to automatically import fill-ups, with no manual file matching. Also supports uploading the report downloaded from the provider's card.
Dashboards with accumulated spend, liters consumed, average km/liter and cost per liter. Comparisons by unit, driver, model and period to identify inefficiencies.
Every fill-up is georeferenced. Verify that the vehicle was at an authorized gas station at the time of the fill-up, with configurable distance tolerance.
Export the full grid to Excel selecting the columns you need. Filter by period, region, model, operational base, plate, fill-up location or validity status.
Connect the fuel module to your GPS telemetry to validate fill-ups against each unit's real odometer. Integrate with your ERP to centralize operational spend in a unified flow.
// Automatic controls
Every time a fill-up is recorded, VEC Fleet runs 4 automatic validations. If any fails, the fill-up is marked as invalid and can be reviewed or manually validated.
If the fill-up exceeds the model's maximum capacity defined in the model master, the control shows red and the fill-up is marked invalid.
Red alertCompares real liters/km performance against the model target with configurable tolerance. If consumption exceeds the range, the fill-up shows red.
Configurable per modelCompares the vehicle's GPS location with the gas station address at the time of the fill-up. Configurable distance tolerance.
Requires active GPSVerifies that the card used for the fill-up matches the one registered for that unit. Detects card swapping between drivers. Can be enabled per unit.
Anti-swappingImportant note
Any invalid fill-up can be manually validated if the deviation is justified. When validated, the status changes to "validated" and is deducted from the invalid fill-up counter. Controls remain red because the deviation occurred, but the status is recorded as approved.
// Why VEC Fleet?
Replace manual records with a system that automatically detects every irregularity and gives you the real cost of operating your fleet.
Every fill-up from your card is imported automatically via API or file. No manual entry, no errors, no Excel matching between the provider and your system.
VEC Fleet detects fill-ups that exceed capacity, out-of-range performance, locations that don't match stations, and swapped cards.
Know exactly how much it costs to operate each vehicle. Identify inefficient units and make fleet renewal decisions based on real data.
Every record includes the GPS coordinates at the time. Audit whether the vehicle was at an authorized station or if the fill-up occurred at a suspicious location.
You define the expected performance and tank capacity per model. VEC Fleet evaluates every fill-up against those parameters and alerts when consumption deviates from the target.
Continuous visibility into abnormal consumption leads to an average 35% reduction in fuel spend within the first 6 months of use.
// How it works
A 100% digital flow that eliminates paper, spreadsheets, and calls to the fleet manager.
Via app, card, or automatic import. Date, time, liters, cost, fuel type, and GPS location are recorded instantly.
The 4 controls run: tank capacity, expected performance, geolocation, and card-to-unit match.
If an irregularity is detected, the fill-up is marked invalid and the manager is notified. The operator can review, edit, or manually validate it with a justification.
With the consolidated history you identify the highest-spend units, drivers with abnormal consumption, the real cost/km, and the most used fill-up locations.

"Many companies would be satisfied with an 8% savings in fleet maintenance. With VEC Fleet's help, we reached 25%."
Enrique Dominguez
Program & Planning Leader — Heineken Mexico
"We consolidated the data and, with Machine Learning, identified consumption trends that were previously invisible. They're not just vendors — they're strategic partners."
Christian Alarcon
Administration Manager — Bureau Veritas
"VEC Fleet's data allows us to get ahead of problems. Before the system, we had fuel deviations we couldn't detect in time."

Request Free DemoThe system flags transactions when the fuel volume exceeds tank capacity, when the vehicle was not at the station at the time of fueling, or when fuel efficiency is below expected levels.
Yes. VEC Fleet allows you to connect multiple fuel cards, centralizing all information and eliminating the need for manual data entry across separate platforms.
The system automatically records fuel volume, cost, fuel type, station, date, and time. No manual input is required.
Yes. The platform allows you to filter and export reports by cost center, operational base, driver, vehicle model, or any other relevant criteria.
The system cross-references fueling data with usage data (GPS, fuel card, odometer) to detect deviations from expected consumption and calculate actual fuel efficiency (L/km).
It helps reduce deviations, optimize fuel consumption, and detect anomalies that may generate financial losses, improving overall fleet cost control.
It eliminates manual data entry tasks, improves reporting accuracy, and simplifies financial control through a centralized dashboard.
