What changes when you digitize your inspections

Paper does not record who performed the inspection, when it happened, or where it was completed. With VEC Fleet, every inspection is traceable end to end.

Before
Paper forms get lost, damaged, or arrive too late to be useful.
You do not know whether the inspection was actually completed or where it was submitted from.
Detected issues stay written on paper that no one follows up on.
Auditing inspection history takes hours, and the data is inconsistent.
With VEC Fleet
Every inspection is recorded instantly with date, time, asset, and user.
You can verify whether the inspector was in the right place when the inspection was completed.
Detected issues become maintenance tickets that are tracked through closure.
The full history is available in seconds, filterable and exportable to Excel.

// Full coverage

Cover machine and operator risk in a single workflow

Most operational incidents have two causes: a vehicle issue or human error. With VEC Fleet, you can manage both from the same module.

Vehicle inspections
Monitor the mechanical and visual condition of each asset before, during, and after operations. Any issue is recorded with photo evidence and triggers follow-up action.
Control examples
Light condition Tires Fluid levels Odometer reading
Driver inspections
Verify each driver’s condition and fitness before they get behind the wheel. Create people-specific forms and assign them to an authorized profile for completion.

// No loose ends

No issue goes without follow-up

The checklist is not a standalone form. It is the entry point to the maintenance system. Every detected issue moves through a complete workflow until it is resolved.

1
The inspector fills out the form
In the app, with photos and a digital signature. No paper, no delays.
2
The system records the issues
Each failed response is identified with the corresponding service and task.
3
A maintenance ticket is created
Manually or automatically, depending on your setup. The ticket goes straight into the work queue.
4
The issue is resolved and closed
The ticket remains linked to the form. You can view the full history of each asset at any time.

// Traceability

Your entire fleet history in one place

Every inspection is recorded with its full context. When you need to make a decision, all the information is there instantly.

Complete history by asset and driver
Each inspection is linked to the asset, the user who completed it, and the validator who approved it.
Filterable by site and validation status
Quickly find inspections pending validation, inspections with issues, or inspections from a specific site.
Exportable to Excel at any time
Select the date range, checklist type, and columns you need. Ready for auditing or analysis.

FAQ's

Yes. You can create as many form types as you need, for both vehicles and personnel. Each form is configured with its own attributes, response types, and authorized user profiles to complete it.

Depending on how the form is configured, the system can automatically generate a corrective ticket or allow it to be created manually. In both cases, the ticket is linked to the inspection and managed within the maintenance module until it is resolved.

Each inspection records the inspector’s geolocation at the time of submission. You can verify whether the location matches the vehicle’s location through a color indicator: green if they match, red if they don’t, and gray if GPS data is unavailable.

You can configure which user profiles are authorized to complete each form and which ones receive notifications when it is submitted. Validation can also be assigned by profile with specific permissions.

Yes. From the inspection list, you can select a date range, checklist type, and the columns you need, and export everything to Excel with a single click.

Form attributes support multiple response types, including free text, images, numeric input, file attachments, yes/no, dropdown options, and digital signatures. For yes/no, numeric, and dropdown fields, you can also define which responses are considered pass or fail, and require a photo or comment to support each response.

Yes. In the form type management section, you can edit any attribute by clicking the pencil icon. Changes are saved and will apply to future inspections using that form.
