What does the spreadsheet include?

The spreadsheet is divided into four worksheets that cover the complete fuel control flow:

  • Refueling log. The heart of the spreadsheet. You manually enter the data for each refueling: date, vehicle plate, driver, liters, amount, odometer and refueling location. Gray cells automatically calculate price per liter, km per liter and cost per km.
  • Deviation detector. Set your fleet parameters (max tank capacity, min and max expected performance, price tolerance) and the spreadsheet cross-references those values with your records. Each refueling is automatically flagged as NORMAL or REVIEW.
  • Dashboard. A real-time summary of total fuel spend, liters consumed, average km per liter, cost per liter and number of invalid refuelings detected.
  • User guide. Step-by-step instructions to set up the spreadsheet correctly from day one.

How to use the spreadsheet step by step

Step 1: Make a copy

Open the file and click File → Make a copy to save it to your own Google Drive. That way you can edit it freely without affecting the original.

Step 2: Configure your control parameters

Before logging refuelings, enter your fleet parameters on the Deviation detector sheet:

  • Maximum tank capacity (liters).
  • Minimum expected performance (km/liter).
  • Maximum expected performance (km/liter).
  • Acceptable deviation percentage for price per liter.

These values determine which refuelings get flagged as suspicious. If you do not configure them correctly, the detector will not be useful.

Step 3: Log each refueling on the main sheet

For each refueling, enter the data in the yellow cells on the Refueling log sheet. The rest is calculated automatically.

The minimum required fields are: date, vehicle plate, liters loaded, total amount and odometer at the time of refueling. With the previous odometer reading you already recorded, the spreadsheet automatically calculates the kilometers driven since the last refueling and the real performance of the vehicle.

Step 4: Review the dashboard regularly

The dashboard updates in real time with each data point you enter. Review it at least once a week to detect vehicles with performance below expected or refuelings flagged as invalid.

What kind of fleet is this spreadsheet for?

The spreadsheet is designed for fleets between 3 and 30 vehicles that do not yet have a fleet management software in place or want a quick control method without relying on internal development.

It is useful for:

  • Fleets with no control today that want to start from scratch.
  • Companies that have evaluated fleet management software and want clean data before implementation.
  • Small teams where one person manages everything with spreadsheets.
  • Operations with geographically dispersed vehicles that need to centralize information.

What this spreadsheet detects (and what it cannot)

The spreadsheet detects three basic types of deviations:

  • Capacity exceedance. If the liters loaded exceed the maximum tank capacity you configured, the refueling is flagged as suspicious.
  • Performance out of range. If real km/liter falls below the minimum expected or exceeds the maximum (which could indicate an odometer error), the system alerts you.
  • Price deviation. If the price per liter exceeds the historical average above the configured tolerance percentage, the refueling is flagged for review.

However, there are important limitations worth knowing:

  • No location verification. The spreadsheet cannot confirm whether the vehicle was actually at the gas station at the time of refueling. That control requires integrated GPS.
  • Everything is entered manually. Each record depends on someone entering the data correctly. An error in the odometer or in the liters distorts all calculations.
  • No automatic alerts. You will need to actively review the dashboard; the spreadsheet does not send email or any other notifications.
  • No fuel-card-to-vehicle control. Detecting whether the card used corresponds to the vehicle requires direct integration with the fuel card provider.

When a spreadsheet is no longer enough

A spreadsheet is a good starting point, but it has a clear limit: it does not scale well. As the fleet grows, manual data entry grows with it, and so does the likelihood of errors and the time you spend controlling fuel instead of operating.

These are the signs that your fleet needs something more robust:

  • You have more than 15 vehicles and daily logging takes more than 30 minutes.
  • Once an irregular refueling was detected weeks after it happened.
  • Drivers know that the control is not in real time.
  • You have fuel cards from different providers and cross-referencing the information is a problem.
  • You need reports segmented by operational base, cost center or vehicle model.

Is the spreadsheet really free?

Yes, no strings attached. You open the link, make a copy in your Google Drive and use it however you want. We do not ask for your email or any data in exchange for access.

Does it work in Excel or only in Google Sheets?

The file is optimized for Google Sheets. If you want to use it in Excel, you can download it as .xlsx from File → Download, although some formulas may require minor adjustments.

Can I modify the parameters if my fleet has different vehicle models?

The current version has a single global parameter. If your fleet has vehicles with very different parameters (sedans and trucks, for example), we recommend creating a separate copy for each vehicle type or segment.

How many vehicles can the spreadsheet handle?

There is no fixed technical limit, but after 50 weekly entries the dashboard update can become slow. For larger fleets, specialized software will give you better performance and control.

How often should I update the data?

Ideally, each refueling should be logged on the same day it happens. If you accumulate data from several days, the risk of errors in calculating km traveled between refuelings increases.
